Survey Manager enables organisations to centralize and streamline their surveys, run multiple projects simultaneously and consolidate findings into a single database. As Survey Manager interfaces with key business systems, it can quickly bring new value and insights to employee, customer, supplier and stakeholder business processes.

Survey Manager was originally developed by Australian Survey Research as its proprietary research tool. It now manages the survey needs for an impressive client list that includes key Commonwealth and State government departments, top 100 companies and major universities.

Survey Manager is available as an outsourced option through ASR's Survey Services bureau, or for purchase with full technical support from ASR.

In the single system, Survey Manager combines:

  • Web surveys
  • Paper forms and questionnaires

  • Scannable paper forms.

It combines easy-to-use web content management capability with the creation, approval and publication of web content and complex documents in multiple formats.

Survey Manager supports four types of survey/project:

  • Anonymous

  • Multi-rater, including upward feedback and 360°.

Survey Manager also supports:

  • Multiple-use e-forms for enrolment, customer feedback, warranties, etc

Survey software features

Survey Manager provides flexibility in questionnaire and form design; emailing, web administration, web reporting and/or export to third party analysis products. It manages whole populations of employees, customers and stakeholders, connecting to CRM, HR and other systems.

It enables users to design, assign, distribute, collect and analyze questionnaires and e-forms for a range of surveying purposes. The application can run multiple projects simultaneously, and so will support all the internal and external online data collection/ analysis requirements of any organisation.

Survey Manager has the capacity to send invitation, reminder and other email messages according to the interactions of respondents to a questionnaire or e-form.

It enables randomized presentation of questions; bilingual questionnaires; pre-formatted colour/style sheets; and enhanced client management screens. At the end of a survey period, reports can be generated over the web, or data can be extracted directly into a range of statistical applications for detailed analysis such as Word, Excel, SPSS®, Statistica®, Crystal Reports®, and Space-Time Research®.

All-in-one application

Survey Manager is a single software system that handles the multitude of tasks associated with modern data collection. You can:

Modular Structure

Survey Manager consists of a series of modules that deal with questionnaire construction (Construction module), survey administration, logistics management and data extraction (Administration module), database configuration and project security & access. In addition, there are functions for creating paper and paper-scannable forms as well as e-forms .

Construction module

The construction module is used to design and build paper/web questionnaires, e-forms, and scannable documents. It features:

Administration module

This module manages all aspects of survey preparation, distribution and control. The system can display all current pending or planned surveys and a full history of closed surveys. As well as tracking survey activities, the module manages respondent importing from other databases/ applications and setting up of role relationships for 360°/multi-rater surveys. It is used for:

  • Respondent filters and selection.
  • On-line assignment of survey respondents

Administration can be done from the client/server module or for internal/remote users from a web-based module.

Client administration module

The functions of this module are adjusted by the survey administrator, eg, change start and end dates, monitor response rates, add respondents to a live survey and send email reminders.

Installation

Install Survey Manager in-house or run from ASR's web servers located in a secure Data Centre. Other user options are:

Use ASR's survey/research bureau. In this way, you can try the product before purchasing.

E-forms

Survey Manager provides everything you need to easily design, deploy and process electronic forms (e-forms) across the enterprise to speed decisions and assist employees, supplier, stakeholders and customers.

The Forms Manager module quickly transforms cumbersome paper forms into fully interactive e-forms that directly connect to the applications that drive business. This process improvement reduces costly errors, streamlines operations, and increases overall customer responsiveness.

Using E-forms

The applications are almost limitless. All organisations use forms for a variety of processes. For example:

A customer can download a smart e-form from your website. It may be a warranty form. Once they fill it in and send it back to you, its contents are automatically loaded into your CRM database, ready for acting upon.

Or an employee may report an OHS incident online which directly updates your HRIS.

Or the Sales Dept may send customers an email containing an e-form. The e-form contains inbuilt help and active assistance so that customers provide their feedback in a format which you can act on immediately.

Multi-rater/360° feedback for employees

Survey Manager has been purpose built to manage the complex and multiple relationships that are created by this type of survey. It is used in one application to manage 4,000 subjects (people receiving feedback from up to 10 other people) globally and simultaneously. One of the largest administrative loads in multi-rater surveying is loading respondents and role relationships. Survey Manager comes with a self-loading respondent interface (really a mini-survey) so this workload can be given to individuals, rather than being using central data entry facilities. Questions can be phrased differently for selves (subjects) versus others and Survey Manager keeps precise track of who has/has not done what and when in terms of giving feedback. Load employee names and emails directly from your payroll.

Survey Manager has been customized with an e-commerce front end for the global purchase of a proprietary multi-rater questionnaire.

Will Survey Manager work with my 'brand x' e-mail server?
In most cases the answer is 'yes'! Survey Manager uses the standard SMTP (Simple Mail Transport Protocol) for transmitting e-mails. SMTP is the standard used by most Internet-enabled e-mail systems. If your e-mail server understands SMTP, it will have no difficulty in processing the e-mails which Survey Manager sends to it. In the unlikely event that your e-mail server is unable to handle SMTP-based emails, a relatively small customization will be required to Survey Manager to enable it to talk to your proprietary e-mail protocol.

What skills are needed to use Survey Manager modules?
A detailed understanding of the generic surveying process is essential. Basic Windows and PC skills are essential as well as excellent attention to detail. Survey Manager is a sophisticated tool for managing a process. Process knowledge is a prerequisite for obtaining tool knowledge.

Survey Manager cannot produce OMR scannable forms, but data from OMR databases can be combined with Survey Manager data.

Yes, and this applies to questionnaires where respondents have been issued an individual login as well as anonymous questionnaires. For anonymous surveys, respondents create their own password which allows them to return as many times as they require until they complete their questionnaire.

Does Survey Manager send auto email reminders?
The answer to this question depends on your definition of "auto." Survey Manager will send an email to a defined group of respondents, eg, all those who haven't yet completed, but it requires human intervention to prepare and choose the email template, and to press the send button. We could make the software send a pre-arranged message on a user-determined date but as the saying goes "as sure as night follows day something is likely to go wrong" with this much automation. The human touch and decision-making capacity is sometimes useful!

Is custom help text for questions available?
Survey Manager offers three types of question or questionnaire help facilities. Questionnaire designers can have unlimited use of what we call question labels - bits of text that can be placed anywhere in a questionnaire. So instructions, definitions, special terms, etc, can be placed right near the question itself. Alternatively, what we call a resource list can be attached to any questionnaire and this sits in a frame that can appear to the left of questions. This hyperlinked hot spot can lead the respondent to an unlimited amount of html pages that can outline FAQs, terms/definitions, how to do calculations, who to call, etc. In addition, mouse over (tool tips) are also possible within question parts.

Can you restrict access to a survey?
Yes, though logon ID and password issue. Survey Manager will allow you to generate random passwords of user-defined length with either alpha or numeric characters. These can be mail merged into an email template from the Survey Manger database and sent to respondents at survey commencement.

Can questionnaire constructors have access to public and private question libraries?
Yes. Survey Manager has the capacity to hold limitless numbers of question libraries. Access is restricted through normal network logon profiles, ie, your access rights will get you to where you store your private library/ies.

Does Survey Manager check for duplicate responses?
Not for anonymous surveys. However, for invitational and multi-rated surveys (both have restricted access), Survey Manager prevents duplicate answering by locking out a completed questionnaire.

How long does it take to get a survey up and running?
This depends on the complexity of the questionnaire. But it is possible to get a small questionnaire with a small group of respondents up and running in minutes.

How do I invite people to participate in a survey?
A requirement of an invitational survey is a "join up" email, ie, notification that the respondent has been invited to participate in the survey and usually a hyperlink to the actual questionnaire. This notification can be sent by fax or post as well as email.

Yes, Survey Manager comes with a set of preloaded templates which you can apply with a mouse click, or you can edit them, or you can create your own. In addition, you have a lot of control over where and how various questionnaire components are displayed, such as alignment, scales displayed horizontally or vertically, component colors and fonts, use of images and logos, etc.

What type of branching does Survey Manager support?
There are several types of branching, or jumps, within Survey Manager. Conditional jumping can occur when a respondent chooses a particular answer. As soon as the answer is chosen they are moved to a user-designated question. Unconditional jumping can occur when a respondent completes a set of questions. After completing the questions and clicking on the save or next button, they are taken to a new question or set of questions – so the jump is not conditional on a particular answer, just they have answered. What we term qualified responses occurs after a respondent chooses answers from a list of options and only the questions pertaining to the chosen options are displayed later in the questionnaire.

Can Survey Manager manage quotas?
Survey Manager can be set to accept a user-defined number of respondents at project creation. Once the quota is achieved, the questionnaire is closed and respondents receive a message advising them of this. Quota management at an answer level will be available in the next version.

Yes. An answer from one question can appear in the question text of later questions.
